Group size
1+ people
Materials
whiteboard or large sheet of paper, sticky notes

How to run it

  1. 1

Divide a whiteboard or sheet of paper into four columns: Backlog, Ready, Doing, and Done.

  2. 2

Fill the 'Backlog' column with sticky notes representing all tasks that need to be completed.

  3. 3

Move the highest priority tasks to the 'Ready' column and rank them from highest to lowest priority.

  4. 4

Select one to three top-priority tasks from the 'Ready' column and move them to the 'Doing' column to focus on immediately.

  5. 5

As tasks are completed, move them to the 'Done' column.

Tips

  • Keep the 'Doing' column limited to a few tasks to maintain focus and avoid overload.

  • Regularly revisit and reprioritize the 'Backlog' to reflect changes in task importance.

Variations

For team use, adapt the columns to reflect team-specific workflow stages or add columns such as 'Review' or 'On Hold' to match project needs.
